Privacy Policy

Willow & Birch, LLC (“Willow & Birch,” “we,” “us,” or “our”) is a senior care advocacy and concierge hub based in Southern California. This Privacy Policy explains what information we collect when you use willowandbirch.org (the “Site”), how we use it, and your rights regarding that information.

1. Information We Collect

We collect information when you voluntarily submit it through one of our contact forms. We also use Google Analytics and Microsoft Clarity to understand, in aggregate, how visitors use the Site (such as which pages are viewed, how visitors found us, and how they interact with the page); see the Google Analytics and Microsoft Clarity entries in Section 4 below for what each collects and how to opt out. The EqualWeb accessibility widget may set functional cookies to remember your accessibility preferences (such as contrast mode or text size); those cookies are governed by EqualWeb’s privacy policy, not ours.

Contact & Intake (“Get My Results”) Forms
When you fill out our contact form or request your Checklist results, we collect your name, email address, and phone number. You may also choose to include a message. This information is submitted to a serverless function hosted on Netlify, which checks it for signs of automated/bot submission and then delivers it directly to Willow & Birch by email. It is not stored in Netlify Forms, a database, or a CRM.

Consultation (“Book a Call”) Form
If you request a consultation after reviewing your Checklist results, the name, email, and phone number you already provided at the Intake step are re-submitted to a separate serverless function and delivered to Willow & Birch by email, the same way as above.

Provider Introduction (Connect) Form
When you request an introduction to a care provider, we collect your first and last name, email address, phone number, preferred contact method, and the name and category of the provider you selected. This information is transmitted via a serverless function hosted on Netlify and delivered directly to Willow & Birch by email.

Checklist Responses
Your answers to the Family Care Checklist exist only in your browser’s active page session. They are not written to cookies, browser storage (such as localStorage or sessionStorage), or any server. If you close or refresh the page, your responses are cleared. If you choose to save a PDF, it is generated entirely on your device. We do not receive, store, or have any visibility into your checklist answers.

2. How Your Information Flows to Us

We use automated tools to detect and block spam or bot submissions before delivering your information directly to our inbox by email. The Family Care Checklist never enters this process at all, since it never leaves your browser.

3. How We Use Your Information

We use the information you provide solely to:

• Respond to your inquiry or message
• Connect you with a care provider you have requested an introduction to
• Follow up regarding care advocacy or concierge services
• Send service-related communications you have requested

We do not use your information for advertising, profiling, or sale to third parties.

4. Third-Party Services

The Site uses the following third-party services. Each operates under its own privacy policy.

• Netlify — our hosting provider, and the platform our serverless functions and short-lived abuse-prevention counters run on. Netlify Privacy Policy
• Resend — the email delivery service that carries your form submission from our serverless function to our inbox. Resend Privacy Policy
• Cloudflare Turnstile — a bot-detection challenge used on our Contact, Intake, and Connect forms to confirm submissions come from real visitors. Cloudflare Privacy Policy
• Google Fonts — fonts are loaded from Google’s servers. Google may log the request including your IP address. Google Privacy Policy
• Google Analytics — we use Google Analytics 4 to understand aggregate Site usage, such as pages viewed, general location, and device or browser type. Google Analytics uses cookies and may log your IP address. You can opt out using Google’s Analytics opt-out browser add-on. Google Privacy Policy
• Microsoft Clarity — we use Microsoft Clarity to record session behavior (clicks, scrolling, and mouse movement) and generate heatmaps, to help us understand how visitors use the Site. Clarity uses cookies, and by default does not capture the text you type into form fields. Microsoft does not offer a dedicated opt-out tool for Clarity; you can prevent its cookies by blocking third-party cookies in your browser’s privacy settings. Microsoft Privacy Statement

5. Data Retention

We keep as little as possible, for as short a time as possible:

• Form submissions (name, email, phone, message, provider requested) — retained as an email in our inbox and in an internal spreadsheet we maintain, until we delete it or you request deletion.
• Abuse-prevention signals — we temporarily track basic technical signals (like IP address and request volume) to detect abuse. This data automatically expires on a short cycle and is never linked to your name, email, or message content.
• Checklist responses — never retained by us in any form. They exist only in your browser’s active page session and are cleared when you close or refresh the page.

6. Your California Privacy Rights

Willow & Birch is a small business and may not currently meet the revenue or data-volume thresholds that trigger mandatory CCPA obligations. However, we voluntarily extend the following rights to California residents as a matter of transparency and trust:

• Know — you may request information about what personal data we hold about you
• Delete — you may request deletion of your personal information from our records
• No sale or sharing — we do not sell personal information, and we do not share it with third parties for cross-context behavioral advertising, period
• No discrimination — we will not treat you differently for exercising these rights

To make a request, email us at support@willowandbirch.org. We will do our best to respond promptly, typically within 30 days.

7. Children’s Privacy

The Site is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

8. Security

Form submissions are transmitted over HTTPS. We rely on Netlify’s infrastructure for secure handling of form data. While we take reasonable precautions, no method of electronic transmission or storage is 100% secure.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected in the “Last Reviewed” date at the top of this page. Continued use of the Site after changes constitutes your acceptance of the updated policy.
